HR service company Töölön Vire accelerated processes with the help of Koho

A simple ERP system saves time. Töölön Vire is an experienced HR service provider that serves its clients in building more efficient working practices, organising documentation, and developing HR management, people management, leadership and communication. HR specialist and service manager Riina Ahlqvist joined the company in autumn 2021, and around the same time Töölön Vire also implemented the Koho ERP system.

Riina’s job involves developing both Töölön Vire’s and her clients’ processes, and Koho was found by chance when looking for an easy ERP system for Töölön Vire’s client company. Koho’s ease of use and good price-performance ratio convinced both Töölön Vire and their customer at the same time.

The entire Töölön Vire staff of seven uses Koho, and Riina is also the main user for two client companies. One of the client companies has 20 users and the other 50. According to Riina, it is easy to recommend Koho to other customers because their own staff find the software effective and easy to use. In her experience, Koho is also easy to adopt, which in turn helps with the onboarding of new employees, as there is a lot of new information to learn all at once.

A straightforward tool for the Helsinki-based HR-services company

At Töölön Vire, Koho is seen first and foremost as an easy tool. In the first phase, the company introduced Koho’s work time recording tool. Later, the need to automate invoicing also arose, and the use of Koho’s invoicing features was introduced.

“We realized that it was also possible to tailor Koho’s functionality to better serve Töölön Vire’s use. For example, we were able to add a clock to the time tracking system, and we were able to provide a sensible solution for supervisors to lock their own team’s hours when the client company requested it,” says Riina.

According to Riina, Koho’s most appreciated features are the software’s ease of use, reporting functions and excellent customer service.

Ease of use brings efficiency, as things are done quickly and no time is wasted. Reporting is definitely the number one thing for us, since as the main user it is really clear for me to see what has been done. The data can also be exported to Excel. As a customer advisory company, we also appreciate Koho’s high quality and interlinked customer service. Koho always answers the phone quickly.

Töölön Vire also praises the annual leave recording and tracking features. Riina is positively surprised at how Koho replicates annual leave and holidays from the previous year, which means that no mistakes can be made.

Riina also reflects on the clarity of the reporting and how it allows for transparency in the way work is done. All employees have access to the administration side, where each employee can view the reports for each of them. This feature is perceived as particularly useful in the company.

Koho speeds up invoicing

“Koho on helppokäyttöisyydessään nopeuttanut merkittävästi laskuttamista. Kohossa näkee ja voi myös helposti korjata omat virheensä. Olemmekin saaneet Koholla hyviä tuloksia ja virhekerroin on laskenut verrattuna aiempaan toimintatapaan. Virheettömyys on myös tärkeä ”tulos”, jonka olemme saavuttaneet Koholla. Emme enää selviäisi laskutusprosessista ilman Kohoa.”, Riina kertoo.

“Koho’s ease of use has significantly sped up invoicing. In Koho you can easily see and correct your own mistakes. We have had good results with Koho and the error rate has dropped compared to the previous way of working. The absence of errors is also an important “result” that we have achieved with Koho. We would no longer be able to manage the invoicing process without Koho,” says Riina.

Töölön Vire’s client companies use a variety of ERP software. Koho has been a good solution, for example, when the customer had an invoicing system but no time tracking system. In such cases, Koho has provided a simple solution for time tracking.

Koho also supports sales processes. The application of the system can be extended and developed according to the needs of the company. “Work is made easier when you have a system that works well and you can check and delete data from it. It’s also important for us to be able to take the data into Excel. Our sales are positively affected by the fact that we can sell the Koho main user service, which in turn serves our customers well. In addition, we have also developed the use of Koho ourselves, for example by adding more products to our sales category. Also, invoicing may bring new development ideas for sales and pricing,” says Riina.

Positive dialogue with Koho

According to Riina, the interaction with Koho’s project managers and customer service has worked well from the beginning. It has also been easy for Riina to recommend Koho to her own customers, because the cooperation with Koho is efficient and the same familiar project managers and deployment managers are involved from one project to the next.

The cooperation with Koho has been a positive dialogue from the beginning. Most of our dealings are with customer service, and as a customer service professional, I have a high regard for quality customer service. We have also always received speedy assistance with occasional problems.
